Creating Your Workspace
When you first sign up for PrimeContractorOS, you will create a workspace for your organization. A workspace is your central hub where all team members collaborate on opportunities, proposals, and contracts. Choose a workspace name that reflects your company (e.g., 'Reed Solutions' or 'ABC Contracting'). Each workspace receives one 7-day free trial with full access to all features.
Setting Up Your Company Profile
After creating your workspace, complete your company profile. This includes your DUNS/UEI number, CAGE code, NAICS codes, business size standards, and any set-aside certifications (8(a), HUBZone, SDVOSB, WOSB). This information is used throughout the platform to match you with relevant opportunities and auto-populate proposal documents.
Inviting Team Members
Navigate to Settings > Team to invite colleagues. Assign roles such as Admin, Proposal Manager, Contract Manager, or Viewer. Each role has specific permissions — Admins can manage billing and team settings, Proposal Managers can create and edit proposals, Contract Managers handle active contract administration, and Viewers have read-only access.
Tracking Your First Opportunity
Go to the Opportunities section and click 'New Opportunity.' You can manually enter opportunity details or paste a SAM.gov solicitation number to auto-import key information. Set the opportunity stage (Identified, Qualified, Bid/No-Bid, Pursuing), assign a capture manager, and add notes about your competitive position.
Understanding the Dashboard
Your dashboard provides a real-time overview of your contracting pipeline. You will see active opportunities by stage, upcoming deadlines, recent activity, and key financial metrics. The lifecycle indicator shows where each of your contracts stands in the Opportunity → Proposal → Contract → Closeout flow.
